How to Brief a Manufacturer in the Philippines

A product brief is the document you send to a manufacturer when requesting a quote or starting product development. A clear, specific brief produces a faster and more accurate quote and reduces miscommunication during development. A vague brief results in generic responses, repeated follow-up questions, and proposals that do not match your actual requirements.

Why a Clear Brief Matters

Manufacturers receive inquiries from many brands at any given time. A well-organized brief signals that you are a serious buyer, helps the manufacturer assess whether your project fits their capabilities, and gives them the information needed to price accurately.

Vague inquiries like "I want to make a face cream" require multiple rounds of clarification before the manufacturer can evaluate feasibility. Each round of back-and-forth adds days to your timeline. What Information to Include in Your Brief

A manufacturer brief should cover the following areas. Not all sections apply to every product, but including as many as possible produces a better manufacturer response.

Product Type and Category

Identify what you are making and what category it falls into. Is this a facial moisturizer, a shampoo, a dishwashing liquid, or a body mist? Include the product category (cosmetics, personal care, household) because it affects which FDA licenses and regulatory requirements apply to both the manufacturer and your brand.

If you have a reference product, include it or describe it specifically. A reference product gives the manufacturer a concrete target for texture, viscosity, and scent profile rather than an abstract description. Target Format and Specifications

Specify the physical form of the product. Is it a cream, lotion, gel, serum, liquid, foam, or powder? Include your target pH range if known, your preferred viscosity (thick, medium, thin), and any key active ingredients you want included.

Be as specific as possible. A sunscreen with SPF 30 has different formulation requirements than one with SPF 50. A whitening serum with 2% niacinamide is different from one with 5%. The more specific your specification, the more accurately the manufacturer can assess raw material costs and formulation complexity.

Volume and MOQ Requirements

State your target order quantity in kilograms and estimated unit count. Most Philippines manufacturers, including Orsolab, have a minimum order of 250kg per SKU. If your target volume is below the standard MOQ, note it and ask whether a development batch at a smaller volume is possible.

If you are planning multiple SKUs in a product line, state the total quantity across all SKUs and the split per SKU. A manufacturer may be able to accommodate multiple smaller batches across a shared production schedule more efficiently.

Packaging Preferences

Describe your target packaging format. This includes container type (bottle, tube, jar, sachet, pump dispenser), material (HDPE, PET, glass, aluminum), closure type (screw cap, flip top, disc top), and fill volume (30ml, 100ml, 200ml, etc.).

If you do not have strong packaging preferences, say so and ask the manufacturer to recommend options based on product compatibility and your budget. Manufacturers typically have relationships with packaging suppliers and can suggest cost-appropriate options.

Timeline and Launch Date

Include your target launch date or the date by which you need finished goods. This tells the manufacturer whether the project timeline is feasible and helps them assess scheduling and capacity.

Budget Range

Including a budget range is one of the most useful additions to a brief. It allows the manufacturer to design a formulation and packaging combination that fits your cost target instead of coming back with a quote significantly above or below what works for your model.

If you are not sure what the budget should be, state your target retail price and desired gross margin instead. From those numbers, a manufacturer can work backwards to identify a viable manufacturing cost per unit range.

FDA and Compliance Requirements

Note any compliance requirements the product must meet. Are you planning to sell on Shopee and Lazada, in pharmacies, in supermarkets, or for export? Do you need FDA product notification before launch? Do any sales channels require specific certifications like dermatologist-tested, cruelty-free, or allergen-free?

How to Send Your Brief

Once your brief is complete, send it to the manufacturer by email or through their inquiry form as a single organized document. Do not split requirements across multiple fragmented messages.

Attach any reference products, label inspiration, or competitor examples you have identified. Visual references are often more useful than verbal descriptions for packaging format and product appearance targets.

What Happens After You Send It

After receiving your brief, the manufacturer reviews it and may ask clarifying questions before providing a formal quote. This is normal. The manufacturer needs to confirm raw material availability, formulation feasibility, and packaging compatibility before committing to a price.

Expect a formal quote within 5 to 10 business days for a first-time custom product inquiry. The quote will include per-unit pricing at your stated volume, MOQ, lead time estimate, and scope of what is included in the manufacturing fee.
