What Supermarkets Require From Private Label Suppliers

Supermarkets in the Philippines including SM Markets, Puregold, Robinsons Supermarket, and Waltermart maintain strict packaging standards for products they list on their shelves. These standards protect the retailer from liability, ensure products meet regulatory requirements, and maintain shelf presentation quality.

Before listing your private label product, supermarkets will request samples and documentation. Packaging that does not meet their requirements will be rejected regardless of product quality. Understanding these requirements before manufacturing saves time and avoids costly repackaging.

Packaging requirements fall into three categories: regulatory compliance, product identification, and shelf presentation. All three must be satisfied for retail listing approval.

FDA Labeling Requirements for Retail Products

All cosmetics, personal care, and household products sold in Philippine supermarkets must comply with FDA labeling requirements. Supermarkets verify FDA compliance before listing products and can be held liable for selling non-compliant products.

Labels must display the following mandatory information:

Product name clearly identifying what the product is. Brand name and product name can be the same or different, but the product name must describe the product accurately.

Net content showing the quantity of product in metric units (mL, L, g, kg). Net content must be displayed prominently on the principal display panel.

Ingredient list showing all ingredients in descending order by weight. Ingredient lists must use INCI (International Nomenclature of Cosmetic Ingredients) names for cosmetics or common chemical names for household products.

Manufacturer name and address showing the company that produced the product. This must match the name on the manufacturer's FDA License to Operate. For Orsolab-manufactured products, our name and Tanza, Cavite address appear on the label along with your brand name as the distributor.

FDA notification or registration number if applicable. Certain product categories require FDA notification or registration. If your product requires registration, the CPR or notification number must appear on the label.

Expiry date or Period After Opening (PAO) symbol showing how long the product remains safe to use. Most cosmetics use the PAO symbol (an open jar icon with a number like "12M" for 12 months).

Warnings or precautions if the product contains ingredients that require safety warnings. Common warnings include "For external use only," "Avoid contact with eyes," or "Keep out of reach of children."

All text must be in English or Filipino. Font size must be legible. Mandatory information cannot be obscured by secondary packaging or stickers.

Labels that violate these requirements will be rejected by supermarkets during the listing process. If violations are discovered after listing, supermarkets can pull products from shelves and terminate supplier agreements.

Manufacturing with an FDA-licensed facility like Orsolab ensures your labels meet regulatory requirements. We provide label templates with mandatory information correctly formatted and positioned.

Barcode and SKU Requirements

Every product sold in Philippine supermarkets requires a unique barcode for scanning at checkout. Without a barcode, your product cannot be listed.

Barcodes must follow GS1 standards. In the Philippines, the GS1 Philippines organization assigns company prefixes and provides barcode registration. Registration costs approximately ₱5,000 to ₱10,000 for a company prefix that allows you to generate multiple product barcodes.

Each SKU (stock keeping unit) requires a unique barcode. If you have three products or three sizes of the same product, you need three different barcodes. Supermarkets use barcodes to track inventory, process sales, and manage reorders.

Barcode placement matters. Barcodes must appear on a flat surface where they can be scanned without rotating the package. Placement on curved surfaces, seams, or areas likely to be damaged reduces scannability and can cause checkout delays.

Barcode size must meet minimum dimensions. Standard EAN-13 barcodes require approximately 37mm width by 26mm height. Smaller barcodes may not scan reliably.

Most manufacturers do not provide barcode registration services. You are responsible for obtaining your company prefix and generating product barcodes before manufacturing. Provide barcode artwork to your manufacturer for inclusion on labels during production.

Shelf-Ready Packaging Formats

Supermarkets prefer packaging formats that are shelf-stable, easy to stock, and present well on retail shelves. Packaging format affects not only listing approval but also product placement and shelf space allocation.

Rigid packaging including bottles, jars, and tubes works best for supermarket shelves. These formats stand upright, stack reliably, and maintain appearance throughout handling and display. Flexible packaging like sachets and pouches works for certain categories but requires secondary display packaging or hanging mechanisms.

Clear product visibility improves shelf performance. Transparent bottles that show product color and texture, or high-quality label photography that represents the product accurately, help customers make purchase decisions. Opaque packaging with minimal visual information reduces conversion rates.

Tamper-evident seals demonstrate product integrity and protect against contamination. Supermarkets increasingly require tamper-evident packaging for cosmetics and personal care products. Common formats include shrink bands, induction seals, or breakable caps.

Appropriate size and proportion matters for shelf efficiency. Products that are too tall for standard shelf heights (approximately 30cm clearance) create stocking problems. Products that are too small get lost on shelves and are difficult for customers to see.

Secondary packaging for multi-packs must be sturdy enough to survive handling without breaking open. Corrugate boxes or shrink-wrapped trays work better than loose bundling with tape or rubber bands.

If you are manufacturing with Orsolab, discuss your target retail channel during the inquiry process. We can recommend packaging formats that meet supermarket requirements and fit your budget.

How to Work With Your Manufacturer on Retail Packaging

Manufacturing packaging that meets supermarket requirements requires clear communication with your manufacturer about your retail objectives.

Provide reference samples if possible. If you have examples of competitor products that successfully sell in your target supermarkets, share those with your manufacturer. This gives the production team a clear benchmark for packaging format, label design, and quality expectations.

Specify your target retail channels. Packaging requirements differ between supermarkets, drugstores, and online platforms. If your primary channel is supermarkets, state this clearly so the manufacturer can recommend appropriate formats and materials.

Confirm label layout meets regulatory requirements before printing. Request a label proof showing all mandatory information, barcode placement, and final artwork. Verify that text is legible, mandatory fields are present, and the design matches your brand standards.

Order samples before full production. Most manufacturers including Orsolab produce small sample batches for approval before running full production. Use these samples to verify packaging quality, label accuracy, and shelf presentation.

Plan for barcode registration before placing your order. Barcode registration takes 1 to 2 weeks. Complete this before finalizing your manufacturing order so artwork can include barcodes from the start.

Common Packaging Mistakes That Delay Retail Listings

Certain packaging errors appear repeatedly among new private label suppliers and cause listing delays or rejections.

Missing or incorrect barcodes are the most common error. Products submitted without barcodes cannot be processed through supermarket systems. Barcodes that do not scan due to size, placement, or print quality issues cause the same problem.

Non-compliant labeling including missing ingredient lists, incorrect manufacturer information, or absent FDA notification numbers will be rejected during supermarket compliance reviews. Always verify label compliance before production.

Poor label adhesion causes labels to peel or fall off during handling and display. This creates stocking problems and makes products unsellable. Use appropriate label materials and adhesives for your packaging format.

Fragile packaging that breaks, leaks, or deforms during transport and handling creates liability for supermarkets. Packaging must withstand normal distribution including stacking, handling, and temperature variations during transport.

Inconsistent fill levels where product content varies between units or is significantly less than container size creates customer complaints and return requests. Supermarkets track return rates and will delist products with high return rates.

Unclear or misleading product claims on packaging can trigger FDA violations or consumer complaints. Avoid making claims your product cannot substantiate or that require clinical evidence you do not have.

Working with an experienced FDA-licensed manufacturer reduces these risks. Orsolab produces private label products for retail distribution and understands supermarket packaging requirements.

Frequently Asked Questions

Do I need GS1 barcode registration to sell private label in Philippine supermarkets?

Yes, all products sold in Philippine supermarkets require GS1-compliant barcodes. You must register with GS1 Philippines to obtain a company prefix and generate unique barcodes for each product SKU. Registration costs approximately ₱5,000 to ₱10,000 and takes 1 to 2 weeks. Supermarkets will not list products without valid barcodes that scan properly at checkout. Complete barcode registration before placing your manufacturing order so barcodes can be included on labels during production.

What FDA information must appear on supermarket product labels?

Supermarket product labels must display product name, net content in metric units, complete ingredient list in descending order by weight, manufacturer name and address matching the FDA License to Operate, FDA notification or registration number if applicable, expiry date or Period After Opening symbol, and any required warnings. All text must be legible and in English or Filipino. Labels missing mandatory information will be rejected during supermarket listing approval. Manufacturing with an FDA-licensed facility like Orsolab ensures label compliance.

How long does it take to get packaging approved for supermarket listing?

Supermarket listing timelines vary by chain and product category. Initial sample submission and documentation review takes 2 to 4 weeks. If packaging meets requirements, listing approval proceeds to commercial negotiations and logistics setup which takes another 2 to 4 weeks. If packaging is rejected, you must remanufacture with corrected packaging which adds 6 to 10 weeks. Total timeline from first submission to approved listing ranges from 1 to 3 months. Manufacturing compliant packaging from the start avoids delays.
